Under the direction of the Accounts Specialist and Mgr. Administrative Services, duties assigned include a portfolio of pre- and post-award sponsored projects, accounts payable/receivable for FSEA Vehicle Service Center, and serves as backup support for both WEC and CHeRI LBR fiscal services, to include PCard reconciliation and accounts payable/receivable. Coordinate overall grants management for Wildlife Ecology and Conservation. Requires collaborative consultation with project PIs, Accounts Specialist (Financials) and Mgr. Administrative Services (Human Resources). Ensures compliance with Code of Federal Regulations (CFR 200), UF’s Cost Accounting Standards (CAS), and guidance from other applicable state and regulatory agencies. Provide department administration with post-award oversight of charges incurred on sponsored awards to ensure charges are: 1) Necessary 2) Reasonable, 3) Allocable, and 4) Treated Consistently as stipulated in the CFR 200. Incumbent must review sponsored awards regularly, identify ambiguous and inappropriate practices, work towards timely resolution for any non-compliance, and serve as a resource for PIs and unit staff for determining cost allocability. Produce customized reports and queries from resources such as myInvestigator and Enterprise Analytics. Meet with PIs to review available balances and/or negative balance reports and identify/facilitate budget amendments through UFIRST, as appropriate. Work closely with Contracts and Grants to facilitate preparation of any quarterly billing and final award close out. Serve as primary point of contact with DSP/C&G to facilitate any no cost extensions (NCE), supplemental release of funds, cost share commitments, and associated effort commitment changes. Provide pre-award proposal development to PIs of the Wildlife Ecology and Conservation Department. Disseminate funding opportunities, request for proposals (RFP), review RFPs in collaboration with PIs to assist in development of accurate budgets and ensure timely submission of proposals in UFIRST. Serve as WEC primary liaison with Division of Sponsored Programs for timely follow-up on DSP inquiries, and work closely with Contracts and Grants to facilitate prompt grant execution and spend authority as soon as possible. Serve as secondary PCard reconciler, Marketplace invoice processor, and general fiscal responsibilities to a part-time .60 FTE Fiscal Assistant I. This position may spend 1-2 days per week providing backup assistance with PCard reconciliation, Marketplace processing, and CHeRI LBR programmatic support, when primary Fiscal Assistant position is not scheduled to work. Under the guidance of the Accounts Specialist, oversee and manage the billing and monthly reconciliation of the WEC FSEA Vehicle Service Center. The WEC FSEA consists of a fleet of vehicles used statewide and requires monthly collection of support mileage logs journal processing to various UF funds – Approps, Grants, Cash-Based, and other applicable funding. A large portion of the accounting and reconciliations are associated with charges to sponsored awards, for which accurate accounting is essential. Coordinate associated distributions of support staff supporting WEC FSEA with the Mgr. Administrative Services. Identify and participate in courses, training, and peer-to-peer collaborations to remain abreast of current and developing trends in sponsored award management. Other duties as assigned. Expected Salary: $60000.00; commensurate with education and training Minimum Requirements: Bachelor's degree and two years of experience in grant and contract administration; or an equivalent combination of education and experience.
